Sales Operations Coordinator | B2B & Wholesale

Mission

The mission of the Sales Operations Coordinator is to serve as the operational backbone for the Business Development and wholesale sales teams. This role exists to ensure sales execution runs smoothly through accurate inventory coordination, clean data, reliable quoting and invoicing support, seamless logistics, proactive lead intake, deep account knowledge, and disciplined process management, reducing friction between all departments. Success is defined by organized pipelines, complete lead context, accurate execution, and strong cross team alignment.

Lead Intake and Sales Inbox Management

  • Manage the incoming sales inbox for all B2B and wholesale inquiries
  • Be notified of all incoming website B2B and wholesale leads, research and collect comprehensive customer details, and hand off fully qualified lead context to the sales team before outreach

Inventory Coordination and Sales Support

  • Update inventory availability for B2B and wholesale partners on a weekly basis

Quoting, Invoicing, and Order Processing

  • Create and send accurate quotes on behalf of the sales team for B2B, wholesale, freight, and international orders
  • Quote shipping for large-scale, LTL, freight, or international B2B orders
  • Set up and manage LTL shipments when required with help from Supply Chain Ops Manager
  • Create international shipping labels, customs documentation, and duty invoices
  • Create and send invoices and process orders on behalf of the sales team

Pipeline Hygiene, CRM, and Reporting

  • Maintain clean and accurate pipelines in CRM
  • Log notes, update deal stages, and ensure opportunities reflect current status
  • Monitor stalled deals and flag follow up needs
  • Run and distribute weekly Sales Operations reports including leads, quotes, pending orders, completed orders, wins, losses, and blocked deals
  • Maintain visibility into products quoted versus products sold

Account Intelligence and Special Requirements Management

  • Develop deep familiarity with key B2B and wholesale accounts
  • Document and maintain account specific requirements including shipping, labeling, packaging, compliance, billing terms, and approval workflows
  • Ensure special handling instructions are communicated clearly to Supply Chain, and Fulfillment
  • Act as the operational continuity owner for accounts when sales is traveling or off site
  • Flag account risks or changes proactively before they impact execution

Wholesale, Partner, and Vendor Operations

  • Support wholesale operations including SOP creation for partner specific workflows
  • Maintain and update vendor facing assets and partner portals
  • Support partner onboarding through clean operational setup and documentation

Trade Show and Event Operations

  • Manage tradeshow logistics for B2B and wholesale initiatives
  • Coordinate shipping of samples, collateral, booth materials, and promotional items
  • Support post event execution including lead capture, CRM updates, follow ups, reporting, and reconciliation

Marketing and Partner Asset Coordination

  • Coordinate with Marketing to distribute approved brand, product, and campaign assets to new and existing partners and vendors
  • Ensure partners receive correct and current versions of marketing assets
  • Support asset requests for tradeshows, wholesale portals, vendor onboarding, and partner communications
  • Communicate asset gaps or update needs back to Marketing

Automation and Systems Support

  • Assist with new automation requests and updates
  • Support automation issue resolution including fixes, training, and interim workarounds
  • Document and maintain SOPs related to sales operations systems

Custom Orders and Special Projects

  • Own or assist with operational execution of custom corporate print orders
  • Coordinate between internal systems, print vendors, and fulfillment partners through final delivery
  • Support special projects requested by Business Development leadership
